Recreation Commission Meeting
May 21, 2015
Called to order at 7:34am
Roll Call – Georgia Bergan, David Nichols, and Bill Puthoff.

Additions to the Agenda: none
I. New Business
a. Kristen Maiden, Program Supervisor
- Kristen’s responsibilities include supervisor to the building attendants and child care attendants. Kristen, and the building attendants, are also responsible for rental set-ups and tear-downs.
- Kristen oversees the sports programs (except swim team and splashball), and the independent provider programs.
- She worked with vendors, and Adam Knight, to offer a beginners’ golf program during the Fun in the Sun Camp. The first class of twelve spots has filled; so she arranged for a second class to be offered (eight of the twelve spots have already been filled on this class).
- Kristen worked with Hamilton County Parks to offer an adult kayak class in our pool this year. There is consideration to offer a kid’s class sometime in the future.
- Kristen has also been responsible for getting three of our coaches recognized with the Ohio Parks and Recreation Association Coach of the Year Award; and responsible for our sports programs honored with the Excellence in Youth Sports Award from the National Alliance for Youth Sports.
- She will be shadowing David for swim team championships this year.
b. Updated Department Policy Guideline Manuals were distributed to Bill and Georgia.
- Wording has been added (new open air shelter), revised (tennis courts access), or expanded (acceptable dress codes), in a few areas. The funding resolution passed by council has been added, along with the lightning prediction system policy and procedures.
II. Old Business
a. Lifestyle Essentials’ Monthly report - as noted in the packet
b. WeTHRIVE! – Community Action Plan
- David changed the target date for the bike rodeo to 2nd quarter, 2016. We, hopefully, will coordinate with Woodlawn who had a successful event this year. Kristen added we worked with Glendale a few years ago.
- Mary Ellen added Children’s Hospital has bike rodeo equipment which is rentable for this type of event. There is also a pediatric helmet grant available.
- It can be difficult to ride your bike to the center; and putting all the bikes and kids in a car maybe prohibitive to some families. Soccer games have also been a conflict in the past.
- Mary Ellen offered assistance to Phi Lambda Pi and the Concession Stand for healthy option ideas and resources.
- The Health Department is hosting a collaborative on June 9th at Noon, for WeThrive communities and those seeking more information about the program.
III. Director’s Report
a. Open-Air Shelter
The first rental is scheduled for Saturday, May 30th.
b. Outdoor Pool Spa
The spa is ready to use.
c. Rebecca Rhodes gave David an update on her project. David will have Rebecca present her needs assessment for senior transportation to the council committee in July.
The department is hoping to replace the department Econo-van next year, so this is a timely project.
d. Commissioners received a letter from Representative Dever congratulating the department and village on the Ferris Award.
e. A new fun-brella was installed at the pool. The original location had a sand base and underground piping so a new spot was chosen near by.
f. The camera monitoring the pool has been replaced.
g. The water-feature mushroom, waterfall, and slide structures were painted during the off season. Other pieces will be painted during the upcoming off season. The bathhouse and the louvers received a fresh coat of paint, too.

V. Open Discussion
- Bill recently attended a program about child abuse (verbal, mental, sexual, and physical). He inquired what precautions, if any, the department has in place.
- The department completes a background check on all coaches, assistant coaches, and employees (completed during the hiring process).
- Most, if not all, programs have more than one staff person working with the kids at any time. Most parents drive their kids or carpool with another parent to get their child to practices, games, and meets.
- We require trainers to have a parent, or another adult, in the room when they train someone.
- The department also searches the sheriff’s website and a national offenders’ database for sexual predators either living or working in Evendale.
- Georgia recommended we look in the Mason Recreation Center for how they store their stability balls. They have racks above head height for the balls to rest. Patrons use a pole to knock them down and then gently toss them up when they are finished.
